  • Income Tax Withholding: Kansas Department of Revenue

 

REQUIRED INFORMATION

  • SIT ID # (format: XXXXXXXXXXXXXXX)

  • SIT payment frequency

  • SIT Access Code (format: 6 to 16 digits)

  • SUI ID # (format: XXXXXX)

  • Current year SUI rate

 

REGISTERING FOR UNEMPLOYMENT INSURANCE

If this will be your first time running payroll in the state of Kansas, you can register with the Kansas Department of Labor 

Note: Kansas will not issue you a SUI account until you have first paid wages in the state.

Once registered, you will receive an
 Unemployment Account Number (UI) (called “Contribution Rate”) and Unemployment Rate (%) which you will need to enter into Namely Payroll under Company > Tax screen (UI tax).  

If you've run payroll in Kansas previously, you can find your 
Employer Serial Number on the Notice of Liability or Quarterly Wage Report and Unemployment Tax Return (K-CNS 100) which you would have received from the Kansas DOL or you can refer to the site below for contact information.

REGISTERING FOR INCOME TAX WITHHOLDING  

New employers in Kansas can register with the Kansas Department of Revenue by visiting the website . Once on the page, you'll want to click on the link that says Business Entity Formation (AOI). On the following page, click Sign Up (orange button) and follow the prompts. 


TIP:

Future-date registration is possible for this state's income tax withholding! 

Once registered, you will receive a Withholding Tax Account Number (WH) and Unemployment Rate (%) which you will need to enter into Namely Payroll under Company > Tax screen (WH tax). 

If you've run payroll in Kansas previously, you can find your Tax Account Number on the Withholding Tax Deposit Report (KW-5) which would have been received from the Department of Revenue. This account number typically ends in "01" unless the account has been closed and re-opened.

POWER OF ATTORNEY FORMS

Please note, Namely does not require a Power of Attorney for this state at this time. It is not required to file or remit payments on your behalf. If one is needed to resolve a tax matter, the tax notice team will request one from you at that time.

If a Power of Attorney is requested from you, you should email completed copies of the forms 
namelyPOA@Namely.com with the CID in the subject line for processing. We will update our system and maintain a copy of each form for record-keeping purposes

STATE INCOME WITHHOLDING FORMS

Namely uploads Federal and State W-4 documents to your HRIS site for use during onboarding, or if you need to send W-4s to employees who need to make withholding adjustments.

TIP:

The most up to date W-4 documents can be found in the Namely section of the Document dropdown menu in Onboarding and Manage eSignature

Form Name: K-4

Accepts Federal W-4: No

Comments: Employers must use Form K-4, Employee's Withholding Allowance Certificate, for all new employees. The federal Form W-4 is not accepted.

Form K-4 should be completed as soon as an employee is hired or taxable payments begin. Employees should review the amount of tax withheld each year and show file new forms whenever there is a change in either marital status or number of exemptions.

If an employee does not complete a Form K-4, the employer must withhold wages at the single rate with no allowances.
